Migrating your personal account data into a team account is a seamless process designed to help you consolidate your work. This guide covers how new and existing team members can migrate their data, as well as how administrators can manage deactivated user profiles.
For New Team Members: Migrating During Invitation
When you are invited to join a team on Manus, you have the option to bring your existing personal data with you, provided the team administrator has enabled this feature. This allows you to retain your tasks, files, and history without starting from scratch.
Upon clicking the invitation link in your email, you will be presented with two choices:
Start Fresh: Create a brand new identity in the team with a clean slate.
Migrate Personal Profile: Bring your existing work and data into the team.
If you choose to migrate your personal profile, you will be prompted to sign in to your personal account to verify ownership. Following verification, you must review and accept the migration terms.
*Important Data Ownership Notice
Once your data is migrated, it becomes the property of the organization. If you leave the team in the future, you may lose access to this data.
As part of the migration process, any active personal Pro subscription will be canceled automatically. A pro-rated refund for the remaining subscription period (excluding used credits) will be issued to your original payment method. You must explicitly agree to both the data ownership change and the subscription cancellation before proceeding.
Once confirmed, the migration is irreversible. Your personal data will be moved to the team, and your original personal space will be reset with a new, blank profile for future personal use.
For Existing Team Members: Self-Service Migration
If you are already a member of a team and wish to bring in data from a separate personal account, you can initiate a self-service migration from your settings, provided the team administrator has permitted it.
To initiate the migration:
Navigate to your Settings and select the Data Migration tab.
Under the My Profiles section, locate your Personal Profile and click the Migrate to Team button.
Select the role you wish your migrated profile to have within the team. The available roles are determined by your team administrator.
Review the compliance and refund consent dialog, acknowledging the change in data ownership and the cancellation of your personal subscription.
Click Confirm & Start Migration.
After a successful migration, you will have two profiles within the team: your original team profile and your newly migrated profile. You can easily switch between them using the Profile Switcher.
For Administrators: Managing Migrations and Delegations
Team administrators have full control over data migration policies and can manage the profiles of deactivated users to ensure business continuity.
Configuring Migration Policies
Administrators can configure the self-service migration policy from the Team Settings.
To enable and configure migrations:
Go to Team Settings and select Data Migration.
Toggle on the Allow members to migrate personal data option.
Set the Max Role allowed for migrated profiles. This determines the highest level of access a user can select when migrating their personal profile into the team.
Member: Grants full access and consumes one seat.
Deactivated: Archives the profile as read-only, retaining data for reference without consuming a seat.
Delegating Deactivated Profiles
When a team member leaves the organization or is deactivated, administrators can delegate their profile to another active member. This ensures that ongoing tasks and important files remain accessible to the team.
To delegate a profile:
Navigate to the Members page and select the Deactivated tab.
Locate the deactivated user, click the three-dot menu icon, and select Delegate...
In the Delegate Profile dialog, search for and select the active team member who will receive custody of the profile.
Choose the appropriate role for the delegated profile (e.g., Member or Deactivated).
Click Delegate.
The receiving member will now see the delegated profile in their Profile Switcher and can access the data based on the assigned role. Administrators can reclaim a delegated profile at any time by returning to the Deactivated tab and selecting Reclaim from the user's menu.
